How we handle your information

This page answers the questions people most often ask about what Affinity Search Partners gathers, why, and how to make us stop. It is written for someone who received one of our emails and wants a plain answer, so every heading is a question and every answer is kept short.

Who are we, and what does this policy cover?

Affinity Search Partners recruits for employers. Specifically, we fill information technology and information systems roles: contract and consulting positions, contract-to-hire arrangements, permanent hires and technology leadership positions. You will find us at 5123 Virginia Way, Suite A23, Brentwood, TN 37027. This policy covers two things: this website, and the business emails, calls and letters we send in the course of our work. "We" and "us" below mean Affinity Search Partners.

Why did we get in touch with you?

The people we write to work at companies where their roles look related to what we do: they hire for, manage or belong to technology teams. We write to work email addresses. Now and then we also call a business number or send a letter to the company's mailing address. We reach out only when we believe what we offer could be relevant to the person's work. If it is not, or if you would just as soon not receive anything more from us, tell us and we stop. The question on stopping, below, explains how.

What information do we collect?

• Business contact details: your name, your title, the company you work for, your work email, a business phone number and, where one exists, a link to your professional profile.
• Company information: what the company does, roughly how large it is, where it is located and the kinds of technology it appears to use.
• Public business activity: open job listings, news about the company, and public professional posts suggesting that a company may be hiring or changing.
• Email deliverability checks: whether a work address appears able to receive mail, which we test before sending.
• Correspondence and notes: what you write to us, what we write to you, and notes from calls and meetings.
• Website visits: this site uses no cookies and has no analytics on it. Our hosting provider keeps the usual technical logs, such as the network address a request came from and the page requested. The font service that supplies the typeface on this site receives your device's IP address when the font loads.

We do not collect sensitive personal information, and we ask that you do not send it to us. Health details, government identifiers, financial account numbers and the like have no place in our work.

Where does the information come from?

Three places. First, what is public: a company's own website, job boards, news reports and profiles on professional networks. Second, commercial business-data providers, which compile records of business contacts and companies. Third, you: when you reply to an email, fill in the contact form on affinitysearchpartners.com, or speak with us by phone or in person.

What do we use it for?

• Judging whether a company or a person is relevant to our work before we make contact.
• Contacting people at work about that work.
• Checking that an email address is live before anything goes to it, so we are not writing to a dead mailbox.
• Replying to you and, if you ask, discussing or providing recruiting services.
• Keeping our do-not-contact list, so that people who asked to be left alone stay that way.
• Protecting our systems and complying with the law.

Open tracking is something we do not do. We have no way of knowing whether an email was opened, and we do not want one.

How do you make us stop?

Reply to any email from us. Any wording will do; there is no particular phrase or subject line you need to use. If we called you, tell the person on the line. We stop promptly, and never later than 10 business days after you ask. Your name and address then go on our do-not-contact list, and they stay there. The list exists to make sure no one on it hears from us again, whatever source their details arrive from later.

Who do we share it with?

Selling or renting personal information is not something we do. Nor do we pass it to other companies for their marketing, or for targeted advertising. Information is shared only in these cases:

• Service providers who act on our instructions: email and mailbox providers, address verification services, business-data providers, and hosting and storage providers. They may use the information only to provide their service to us.
• Authorities, where a law obliges us, or where sharing is needed to protect rights, property or safety.
• A buyer or successor of our business, who would be bound by this policy.

How long do we keep it?

Contact and company records stay for as long as they remain useful, and stale records get cleared out. Client records last as long as the work itself and our legal and accounting duties demand. Do-not-contact entries remain for the whole time we are contacting businesses, because the entry is what keeps you off future outreach.

How do we protect it?

Only the people who need the information for the work can get at it, and we use reasonable safeguards suited to a small firm. There is no way to store or send information that is completely secure, so we do not claim absolute security.

What choices and rights do you have?

You can ask what we have on file about you, and how we came by it. You can ask us to correct it. You can ask us to delete it, with one exception: we keep your do-not-contact entry, because it is the entry that keeps future outreach away from you.

Some states grant additional rights: to learn what a business holds, to have it corrected or deleted, and to refuse having personal information sold or shared. Since we neither sell nor share it in that way, the opt-out has nothing to act on, but the other rights are yours to use. Using any of these rights will not change how we treat you.

Requests can come by reply to one of our emails, through our main site's contact form, or by post to the address below. We may check that a request comes from the address our email went to before we act on it. Our answer arrives within whatever period the relevant law sets. An agent you have authorized can ask for you.

Do we collect anything about children?

No. Our work is with businesses, and this site is for businesses. We knowingly gather nothing about anyone younger than 18. If you believe we hold such information, contact us and we will remove it.

Where do we operate?

Our operations are in the United States, run from Tennessee. Service providers we use may handle information in whatever location they run from.

What happens when this policy changes?

The date shown under the heading of this page changes whenever the policy does. The version shown here is always the current one.
